Designing a More Natural Way to Work With AI

I focused on designing how people interact with an AI assistant during real conversations, making the experience clear, intuitive, and trustworthy while defining when Fibi should listen, respond, and provide information.

As Lead Designer, I focused on turning HeyFibi’s AI capabilities into a simple and understandable onboarding experience.

  • Defined the onboarding experience and key user scenarios

  • Simplified complex AI capabilities into clear, relatable use cases

  • Designed the user flow from introduction to first use

  • Defined how Fibi should communicate its capabilities and value

  • Created the UI and interaction patterns for the onboarding experience

Why are we doing this?

HeyFibi is designed to help teams get the information they need without interrupting the flow of work.

The challenge was that new users needed to understand more than just what Fibi is. They needed to understand when to use it and how it could help them.

The onboarding experience was an opportunity to make that value clear from the beginning—using familiar situations that users could immediately relate to.

The goal: Help users quickly answer, “What can Fibi do for me, and when should I use it?”

How Do We Solve it?

We started by looking at the situations where Fibi could naturally fit into a team's workflow.

Rather than asking users to learn a list of AI features, we introduced Fibi through real moments where people need help.


  1. Start with familiar situations: We used everyday work scenarios meetings, questions, missing expertise, and follow-up to show users where HeyFibi can help.

  2. Show the value, not just the feature: Instead of explaining what HeyFibi is, the onboarding explains what users can accomplish with HeyFibi.

  3. Make the first interaction feel easy: The experience guides users from understanding Fibi to knowing when and how to ask for help, reducing the hesitation that can come with using a new AI product.

  4. Connect HeyFibi to company knowledge: We show how Fibi can work with connected company information, helping users understand that its value goes beyond a single meeting.

  5. Build toward everyday use: The goal isn't simply to complete onboarding. It's to help users recognize opportunities to use Fibi naturally in their day-to-day work.
